هناك الكثير من السلبيات المصاحبة لعملية التعامل اليدوي مع
البيانات المكتوبة مثل إضاعة الوقت والجهد، حيث تظهر الإحصاءات
أن مديري ورؤساء الشركات يهدرون حوالي مائة وخمسين ساعة سنويًا
من وقتهم في البحث عن الوثائق، هذا إلى جانب النمو المتزايد في
حجم الوثائق الورقية بنسبة عشرين بالمائة سنويًا. بالإضافة إلى
ذلك، تعتبر عملية التعامل اليدوي مع البيانات عملية مكلفة، حيث
ينفق الكثير من الأموال على شراء الورق وأدوات الكتابة، إلى
جانب تكلفة صيانة الخزائن المحتوية على هذه الأوراق إذا وضعنا
في الاعتبار كم الأوراق الهائل الذي تحتوي عليه المؤسسات.

الملفات في نظام الأرشفة الإلكترونية منظمة ومخزنة في مجلدات

- بقاء كل الملفات في أرشيف مركزي وذلك بالتنسيق مع الجهة
المعنية على كيفية إنشاء الشجرة أو الهيكل التنظيمي على سبيل
المثال: إنشاء الهيكل التنظيمي بالاعتماد على الإدارات

- تقليل الوقت المستهلك في البحث عن الملفات.<br>
- توفير مساحات أقل للتخزين.<br>
- تأمين سرية وحماية للملفات مع المحافظة على أصولها بعد

- استخدام قاعدة بيانات متميزة وذات كفاءة عالية مثال: MS SQL
أو ORACLE<br>
- استخدام صيغة للصور الضوئية بأقل حجم ممكن مثال للصور
الممسوحة ضوئيا بالأبيض والأسود واستخدام JPEG للصور الملونة.</font></span></span></p>
